This privacy policy applies to the AppOnTheRoad mobile application (Android and iOS) and the website appontheroad.nl. Both the app and the website are operated by App on the Road, based at Geestersingel 18, 1815 BA Alkmaar, the Netherlands. This statement explains which personal data we process, why, for how long, and what rights you have.

App on the Road is the data controller under the General Data Protection Regulation (GDPR) for personal data processed through the AppOnTheRoad app and the website appontheroad.nl.

Data the AppOnTheRoad app processes
AppOnTheRoad is used by drivers and fleet managers to record daily inspections, damage reports, HSE incident reports, maintenance work orders, and in-app communication within a fleet. For these purposes the app processes the following categories of personal data:
Account and profile data: name, email address, phone number, employer, user role (driver, manager), password (stored encrypted).
Vehicle and fleet data: license plate, mileage, vehicle assignment, and maintenance history. These may indirectly relate to you when you are assigned as a user to a vehicle.
Inspection and damage reports: checklists, comments, and photos you take or upload through the app to document an inspection or damage event.
HSE and incident reports: descriptions, incident location, and any attached photos or files you provide.
Messages and notifications: the content of communication between drivers and fleet managers inside the app.
Technical and diagnostic data: device type, operating system and version, app version, language, IP address, crash logs, and usage statistics. This data helps us keep the app stable and secure.
Location data: only when you grant permission at the device level and a feature explicitly requires it — for example, to capture the vehicle's location when you submit a damage or HSE report. You can withdraw this permission at any time through your device settings.
Data the website appontheroad.nl processes
When you visit our website, we process limited data needed to operate the site, measure usage, and identify business visitors: IP address, browser and device information, pages viewed, and referring source.
For this we use Google Tag Manager and Google Analytics (Google Ireland Limited) and Leadinfo (Leadinfo B.V., Rotterdam). Leadinfo matches business IP addresses to company information so we can see which organizations visit our site. Individual private visitors are not personally identified.
If you contact us via the website or request a demo, we process the information you provide (name, email, phone number, company name, message) to respond to your request.
Purpose and legal basis
Performance of a contract (Art. 6(1)(b) GDPR): we process account, vehicle, inspection, and report data in order to deliver the AppOnTheRoad service to you and your employer.
Legitimate interest (Art. 6(1)(f) GDPR): we use technical and usage data to keep the app secure, reliable, and user-friendly, to prevent abuse, and to improve our service.
Consent (Art. 6(1)(a) GDPR): for optional features such as location processing and for analytics cookies on the website we ask for prior consent. You can withdraw this consent at any time.
Legal obligation (Art. 6(1)(c) GDPR): we may process personal data to comply with legal obligations, such as tax or retention requirements.
Sharing with third parties
We do not sell your personal data. We share data only with the following categories of recipients and only where necessary:
Your employer or the organization for which you use AppOnTheRoad: inspections, damage reports, maintenance status, and messages are visible to your organization's fleet managers. This is inherent to the nature of the service.
Our processors: hosting and cloud providers, email service, analytics providers, and support tooling. We have data processing agreements in place with each of them covering confidentiality and security.
Competent authorities: when we are legally required to share data (for instance, in response to a lawful request from police, judicial authorities, or a supervisory authority).
Retention
We retain your personal data no longer than necessary for the purposes for which it was collected. Account data is kept for as long as you have an active account. Inspections, damage reports, and HSE reports are retained for as long as your employer uses them or for as long as a statutory retention period requires. After termination, data is deleted or anonymized, unless longer retention is legally required.
Deleting your account and data
You can have your AppOnTheRoad account and the associated personal data deleted by sending a request to info@appontheroad.nl from the email address linked to your account. We confirm deletion within 30 days, unless we are legally required to retain certain data for longer. In that case we will inform you which data is kept and for what period.
If you were invited by your employer to use AppOnTheRoad, company data (such as completed inspections or damage reports) may remain with your employer. For deletion of that data, please contact your organization's fleet manager.
Security
App on the Road takes the protection of your data seriously and applies appropriate technical and organizational measures to prevent misuse, loss, unauthorized access, undesired disclosure, and unauthorized modification. Traffic between the app, the website, and our servers is encrypted using TLS (https). Access to personal data is limited to staff who need it to perform their work.

International transfers
Your data is in principle processed within the European Economic Area (EEA). Some of our processors (such as Google) may process data outside the EEA. In that case we put appropriate safeguards in place, such as the European Commission's Standard Contractual Clauses.
Special categories of data and children
AppOnTheRoad is a business application and is not intended for users under the age of 16. We do not knowingly collect personal data from minors. If you believe we have collected personal data about a minor without parental consent, please contact info@appontheroad.nl and we will delete this information.
Your rights
Under the GDPR you have the following rights: access, rectification, and erasure of your personal data; restriction of processing; objection to processing; data portability; and the right to withdraw your consent at any time.
You can submit your request to info@appontheroad.nl. To ensure the request is made by you, we may ask you to identify yourself. We will respond as soon as possible and no later than four weeks after receiving your request.
If you believe we are not handling your data properly, you have the right to lodge a complaint with the Dutch Data Protection Authority via autoriteitpersoonsgegevens.nl.
Changes to this privacy policy
We may update this privacy policy from time to time, for instance when the app or applicable law changes. You can always find the most recent version at appontheroad.nl/privacy-policy.
