Häufig gestellte Fragen zum Thema Arbeitsaufträge
How do I send a work order to an external workshop?
Open the work order and use the "Send to vendor" button. The system composes an email automatically using the default email template, with the work order and any related photos as attachments. The supplier must have an email address set in Master Data → General → Suppliers. Without an email address the work order cannot be sent. Internal workshops are not emailed externally.
How does a supplier respond to a work order without an account?
Simply by email. The work order you send contains "Accept" and "Reject" buttons. After accepting, the supplier receives a follow-up email that lets them mark the work order as finished or add a comment — this can be done multiple times. All responses and comments appear on the work order and in the overview. When the supplier marks the work order as finished, it is deliberately not closed automatically: you check the result and close the work order yourself. An orange counter at the top of the overview shows how many work orders still need to be closed. On the Email tab you can see the status of every email sent (delivered, opened or bounced) and resend the follow-up email. The buttons in older emails then stop working.
Can I plan and view work orders in a calendar?
Yes. The work order overview has three views: a list, a month calendar and a week planner. In the calendar and week views, work orders appear as coloured blocks on their planned start and end dates, and you can click straight through to the details. You can filter by supplier or internal workshop and hide completed work orders. When planning, you can enter a time in addition to a date, or schedule a work order as an all-day item.
Can I create a work order directly from the damages or defects screen?
From a defect or a rejected inspection you can. Open the defect and click the "Create work order" button: the vehicle is pre-filled and the defect is linked right away. For an inspection, the rejected points are pre-filled in the description. If the vehicle still has open work orders, you see those first so you do not create a duplicate. From a damage this is not (yet) possible. For damages, first create a work order for the vehicle and link the damage inside it. Selecting multiple items at once in the list view is not possible. To link several defects and damages in one go, create the work order first: inside it you see everything that is still open for the vehicle and can link it in a batch.
What are job types and how do I use them?
Job types are your own categories for work orders, such as service, inspection, tyre service or bodywork. You define them under Master data → Work orders and pick the job type when creating or editing a work order. You can then filter on them in the work order overview, the table and the calendar. Companies with several workshops pick their own job type(s) in the dashboard filter in the top right: the work order list, the calendar and the work order figures then only show those jobs.
Can I create a work order from the mobile app?
Yes. In the app's manager mode open "Work orders" and tap the plus in the top right. Enter a title, pick the vehicle (search by licence plate, fleet code or description), tick the vehicle's open defects and damages to link them, choose the job type, handler and workshop or vendor, and set the planned date. "All day" with today is on by default, so a quick work order takes three steps. After saving, the work order opens right away and also appears on the dashboard. Sending it to the vendor is done from the dashboard as usual. Creating requires an internet connection; the app tells you when it is missing.
