Häufig gestellte Fragen zum Thema den Einstieg in App on the Road
What do the colours next to the expiry dates in the vehicle list mean?
The colours show a vehicle's state at a glance: green means the date is still valid, orange that it expires soon and red that it has passed. This applies to the inspection and tachograph dates in the list. The filter panel also lets you filter on these colours, so you can instantly see, for example, every vehicle whose inspection is about to expire. Drivers see the same colours in the vehicle list of the mobile app.
How do I see which vehicles are overdue for a recurring inspection?
Open the Dashboard overview and go to the Inspections tab. For each recurring template it shows which vehicles are past their interval, including how many days overdue they are. Vehicles that have never been inspected with the template are shown as well. You will also find the number of inspections per vehicle and per driver and the trend over a period of your choice, so you can see at a glance whether inspections are being carried out properly.
What is the difference between Fleet Admin, Fleet Manager and Planner, and how does a new colleague get access?
A Fleet Admin has full access to the dashboard, including user management, the settings (Admin → Settings), inspection templates and master data. A Fleet Manager works with the operational modules such as vehicles, defects, damages, inspections, work orders and messages, but cannot manage users or settings. Both also use the manager mode of the mobile app. A Planner sees the work order calendar (month and week view) and can open a work order to view its status, schedule, executed work, workshop and photos, but cannot change anything. Ideal for colleagues who plan around vehicle availability. Add a new colleague through the admin screen: click your name in the top-right corner, choose "Admin" and go to Users. Pick the appropriate role and save. The new user automatically receives a welcome email with the credentials for the dashboard and the mobile app, including a QR code and the dashboard link. You can resend the welcome email at any time, download the credentials as a PDF and generate a secure password with a single click.
How do I add a new driver?
Open the Drivers menu and click "Add driver" in the top-right corner. Fill in the driver details (at least name, username/email and optionally site and department) and save. When you save, the "Send invitation email" checkbox is enabled by default. If the driver has a valid email address, they receive an invitation email immediately to set a password and activate the mobile app. Does the driver not have an email address yet? Uncheck the box. You can send the invitation later once an email address has been filled in.
How do I resend the invitation email to a driver?
In the Drivers menu, open the driver profile and click "Resend invitation email". The system automatically generates a new password and emails the username plus this new password to the driver in the invitation email. The old password stops working right away. The driver must have a valid email address on file. If the email is wrong, correct it and save first, then resend the invitation.
How do I change or reset a driver's password?
In the Drivers menu, open the driver profile and click the "Reset password" button. A dialog opens with an auto-generated password pre-filled; you can type your own password or click the refresh icon to roll a new random one. Click "Reset password" to save it. The old password stops working immediately. Make sure to note the new password and share it with the driver — it is not sent automatically.
Can I link drivers to a site or department?
Yes. On the driver card you record which site and department a driver belongs to, chosen from your master data. Both appear as columns in the driver overview and in the Excel export. With the site and department filter in the top right of the dashboard you then only see the drivers (and their reports) of the chosen site, and in a group message you select all drivers of one site in one go. Drivers without a site or department are found with "Unassigned".
How do I decide which vehicles are visible to charters?
Charter visibility is controlled per object type, not per vehicle. Go to Master Data → Vehicles → Object Types and open the object type you want to adjust. Tick the "Visible for charter driver" checkbox to make all vehicles of that object type available to charters; untick it to hide them. A charter automatically sees every vehicle whose object type has this flag enabled.
Where do I switch on modules and features such as live translation or AI Maintenance?
Click your name in the top-right corner, choose "Admin" and open the Settings tab. As a fleet admin you decide there which modules are on (damages, defects, inspections, messages, safety, reminders, maintenance plans, Academy and more), whether live translation and AI Maintenance are active, the default country for licence plates, your company logo, the e-mail on new reports, the alerts for unsafe defects, the pop-ups for drivers and the RDW link. Every setting comes with a short explanation of what it does. Click Save after changing; the setting applies right away. Only mandatory two-step verification for your whole organisation is switched on by us; request it through "Support & ideas".
How do I protect my account with two-step verification?
With an authenticator app on your phone, such as Google Authenticator or Microsoft Authenticator. In the dashboard, open the menu in the top right, choose "My profile" and click "Enable two-step verification". Scan the QR code with the app and enter the 6-digit code; if you cannot scan, enter the key shown manually. From then on you enter the code from the app next to your password when signing in. This also applies when you sign in to the mobile app with your manager account. Someone who knows your password still cannot reach your fleet data. New phone? Choose "Replace authenticator app" under "My profile". Code not accepted? Check that the time on your phone is set automatically. Drivers do not use two-step verification; nothing changes in the driver app.
